# Collaborating on AhaSlides Presentations and Folders

> Invite collaborators by email or shareable link, assign Editor or Presenter roles, and work on presentations together in real time.

AhaSlides makes it easy to work with colleagues on presentations. You can invite others to edit or present your work, collaborate on shared folders, and even let team members run their own independent sessions of a presentation using the Presenter role.

## Adding Collaborators

<Steps>
  <Step title="Open a presentation">
    Navigate to the presentation you want to share from the Presentations Dashboard and open it in the editor.
  </Step>

  <Step title="Click Share">
    Click the **Share** button in the top-right corner of the editor.
  </Step>

  <Step title="Go to the Invite tab">
    In the Share panel, click the **Invite** tab.
  </Step>

  <Step title="Enter an email address">
    Type the email address of the person you want to invite.
  </Step>

  <Step title="Choose a role">
    Select either **Editor** or **Presenter** from the role dropdown. See the role descriptions below.
  </Step>

  <Step title="Click Send Invite">
    Click **Send Invite**. The person receives an email with a link to accept the invitation and access the presentation.
  </Step>
</Steps>

## Sharing via Link

For a faster invite, generate a shareable link instead of sending individual email invitations:

1. Click **Share** → **Invite** tab.
2. Click **Generate shareable link**.
3. Copy the link and send it to your collaborators via email, chat, or any other channel.

<Note>
  Shareable links grant **Editor access only**. If you need to invite someone with the Presenter role, use the email invite method above.
</Note>

## Collaboration Roles

| Role          | Permissions                                                                                                           |
| ------------- | --------------------------------------------------------------------------------------------------------------------- |
| **Editor** | Full edit access: add, edit, and delete slides; change presentation settings; present the session |
| **Presenter** | Can present the presentation independently and view their own session reports — cannot edit slide content or settings |

<Note>
  The **Presenter role** is a **Pro plan feature**. Presenters run fully independent sessions: their response data, session history, and reports are separate from yours. This makes the Presenter role ideal for facilitators who run the same training or quiz for different groups.
</Note>

## Real-Time Editing

Multiple editors can have the same presentation open at the same time. AhaSlides handles edit conflicts with a simple handoff system:

* If a second editor opens a presentation that someone is already editing, a **"Take over"** prompt appears on their screen.
* Click **Take Over** to gain edit control — the previous editor's unsaved changes are preserved and visible to you.
* Click **Refresh** instead to load the latest saved version without taking control.

Only one person can hold edit control at a time to prevent conflicting changes.

## Folder Collaboration

Share an entire folder with collaborators so they can access all the presentations inside it:

1. Open the folder from the Presentations Dashboard.
2. Click **Share** on the folder.
3. Invite editors by email — all presentations currently in the folder become accessible to them.

<Note>
  Moving a presentation **out** of a shared folder does not automatically revoke a collaborator's access to that presentation. If you need to remove their access, edit the presentation's sharing settings directly via **Share → Manage Access**.
</Note>

## Sharing a Copy

Use the **Share Slides** tab in the Share panel to send an independent copy of your presentation to another AhaSlides user:

1. Click **Share** → **Share Slides** tab.
2. Enter the recipient's AhaSlides email address.
3. Choose whether to include **slide notes** and/or **response data** in the copy.
4. Click **Send**.

The recipient receives an independent copy in their **Personal Workspace**. Any edits they make to their copy do not affect your original presentation — and vice versa.

## Finding Shared Content

To see everything that has been shared with you:

1. Go to the **Presentations Dashboard**.
2. Click **Shared with Me** in the left sidebar.

This view shows all presentations and folders that other AhaSlides users have shared with your account, regardless of which workspace or folder they originally came from.
